Promoting a Sub-Volume
A sub-volume is automatically promoted (that is, closed) when it reaches its maximum allowed size. (This maximum size is specified on the Storage Group page, when the storage group is created.) Once a sub-volume is closed, you can no longer archive reports into it. Sub-volumes are numbered sequentially, so each time a sub-volume is promoted, the next sub-volume in the sequence begins. A sub-volume cannot be backed up or removed from the system until it has been promoted.
There may be situations where you would like to force MSAdmin to begin a new sub-volume even though the current one is not completely full. For example, you may want to keep all reports for a particular month on a single sub-volume. Or you may not want to start a new fiscal year on a sub-volume that contains information from the previous year. In such cases, you can manually promote a sub-volume and begin a new one.
To manually promote a sub-volume

On the Navigation Tree, click Report Warehouse, then click Storage and select Storage Groups.

On the Storage Groups page, click the name of the storage group that contains the sub-volume to be promoted or click anywhere on its row, and then click .

Select the Sub-Volumes Information tab at the top of the page. This tab lists all sub-volumes of a storage group and provides information about their status (i.e., active or closed), number of files, etc.

Click Promote. A dialog box appears, asking you to confirm that you want to promote the sub-volume.

Click OK to promote the sub-volume (or click Cancel to cancel the promotion).
