Group Administrator

An administrator can assign limited administration rights to group administrators (users who can perform a limited set of operations in Web Admin). Limited administration rights can be assigned to a user, group, or role. In case of a group or role, all explicit and implicit members of that group or role will have the specified limited rights.

Group administrators can view only those objects, to which they have corresponding rights. For example, when defining a new filing task, they can work only with document types assigned to them.

To display the Group Administrator page, when assigning access rights, click the Group Administrator tab at the top of the page.

The Group Administrator page contains the following items:

  • Privileges: Select check boxes to assign the following privileges to a group administrator:

    • Manage Filing Task: This privilege enables a group administrator to:

      • Create a new filing task. When creating a filing task, group administrators can view only those document types, for which they have rights.

      • Edit existing filing tasks for document types, for which a group administrator has rights.

      • Delete existing filing tasks for document types, for which a group administrator has rights.

Note: The group administrator can not add a new location.

    • Manage Searches: This privilege enables a group administrator to:

      • Create a new search using document types, for which a group administrator has rights.

      • Edit existing searches, for which a group administrator has rights. The Search Definition page shall contain only document types, for which a group administrator has rights.

      • Delete existing searches, for which a group administrator has rights.

      • Assign rights to any user, group, or role for existing searches, for which a group administrator has rights.

    • Manage Maintenance Process: This privilege enables a group administrator to:

      • Create a new maintenance process.

      • Edit any existing maintenance processes (including schedule type, periodicity, and suspension flag).

      • Delete any existing maintenance processes.

      • Include to or remove from a maintenance process any maintenance tasks.

    • Manage News: This privilege enables a group administrator to:

      • Create global and group specific news.

      • Edit global and group specific news.

      • Delete global and group specific news.

      • Delete expired news.

      • Assign rights to any user, group, or role for existing group specific news.

    • Manage Maintenance Task: This privilege enables a group administrator to:

      • Create a new maintenance task. When creating a maintenance task, group administrators can view only those document types, for which they have rights.

      • Edit existing maintenance tasks for document types, for which a group administrator has rights.

      • Delete existing filing tasks for document types, for which a group administrator has rights.

    • Manage Notifications: This privilege enables a group administrator to:

      • Create a new notification using searches, for which a group administrator has rights.

      • Edit existing notifications, for which a group administrator has rights. The Notification Definition page shall contain only searches, for which a group administrator has rights.

      • Delete existing notifications, for which a group administrator has rights.

      • Assign rights to any user, group, or role for existing notifications, for which a group administrator has rights.

    • Manage Document Groups: This privilege enables a group administrator to:

      • Create a new document group.

      • Edit existing document groups.

      • Delete existing document groups.

      • Include or remove from existing document groups any document types, for which a group administrator has rights.

    • Manage Document Types: This privilege enables a group administrator to:

      • Create a new index field.

      • Edit existing index fields.

      • Delete existing index fields.

      • Upload a new model.

      • Edit existing models.

      • Delete existing models.

      • Create a new document type.

      • Edit existing document types the group administrator has rights for.

      • Delete existing document types the group administrator has rights for.

      • Assign rights to any user, group, or role for existing document types the group administrator has rights for.

      • Manage templates of existing document types the group administrator has rights for:

        • Upload a new template.

        • Edit existing templates the group administrator has rights for.

        • Delete existing templates the group administrator has rights for.

        • Assign rights to any user, group, or role for existing templates the group administrator has rights for.

    • Manage Filing Process: This privilege enables a group administrator to:

      • Create a new filing process.

      • Edit any existing filing processes (including schedule type, periodicity, and suspension flag).

      • Delete any existing filing processes.

      • Include or remove from a filing process any filing tasks.

    • Manage Search Groups: This privilege enables a group administrator to:

      • Create a new search group.

      • Edit existing search groups.

      • Delete existing search groups.

      • Include or remove from existing search groups any searches, for which the group administrator has rights.

  • Manage Filters: After you select this check box, the Manage Filters button becomes visible. Click it to expand a hidden section, allowing you to assign roles and groups, which a group administrator can manage. To assign a role or group, drag it from the left pane to the right pane. This privilege enables a group administrator to:

    • Manage filters of the following trustees:

      • Assigned roles and groups.

      • Any implicit or explicit members of assigned roles and groups.

    • Assign any filters based on their filters. If they are restricted from seeing a particular keyword, then any filters in the set shall also include that restriction.

  • Manage Users: After you select this check box, the Manage Users button becomes visible. Click it to expand a hidden section, allowing you to assign roles and groups, which a group administrator can manage. To assign a role or group, drag it from the left pane to the right pane. This privilege enables a group administrator to manage the assigned roles and groups.

  • Save: Saves the settings.

  • Clear: Clears all the boxes.

  • Cancel: Cancels the operation.

  • Copy Profile: Opens a dialog box, where you can select a role, user or group. All its settings will be copied. You can make the necessary changes.
